2025 PTO Plan (Draft)

Objective: This PTO plan provides our barbers with structured time off while ensuring that we maintain adequate staffing levels, particularly during peak demand periods. This plan is subject to review and adjustment at the end of 2025.

1. PTO Allocation and Eligibility

To be eligible for PTO, barbers must complete a 90-day waiting period. Once eligible, each barber will be granted a set amount of PTO annually based on their average weekly work hours:

  • Full-Time (40+ hours/week): 5 days (40 hours) per year
  • 30 hours/week: 3.75 days (30 hours) per year
  • 20 hours/week: 2.5 days (20 hours) per year
  • 10 hours/week: 1.25 days (10 hours) per year

Note: PTO is based on the average weekly hours from the previous year and resets on January 1 each year. This is a use-it-or-lose-it policy, meaning unused PTO will not roll over to the next year.

2. Blackout Periods

To ensure adequate coverage during peak times, PTO requests are restricted during the following blackout periods:

  • Holiday Season: November 20 - December 31
  • Pre-Spring Grooming: March 1 - April 30
  • Back-to-School and Summer End: July 24 - September 7
  • Pre-Holiday Season: October 15 - November 10

Exception: Emergency leave requests during blackout periods may be considered on a case-by-case basis.

3. Coverage Policy

To maintain service quality, the following minimum staffing levels must be met, and PTO requests will be granted accordingly:

  • 5-Barber Team: Minimum of 3 barbers on duty daily.
  • 6-Barber Team: Minimum of 4 barbers on duty daily.
  • Concurrent PTO Limit: Only 1-2 barbers may take PTO on the same day, depending on demand.

Plan ahead to secure preferred dates, especially outside of blackout periods.

4. PTO Request Process

To request PTO, please submit your request at least two weeks in advance. Approval is based on a first-come, first-served basis, with priority for earlier submissions and for barbers with less recent PTO usage.

High-Demand Days: Fridays and Saturdays are our busiest days. Whenever possible, PTO requests should focus on weekdays to ensure we meet client demand on these high-volume days.

Q: Can I use all my PTO days at once?
A: Yes, but requests must align with coverage requirements. Plan in advance, especially if taking multiple days consecutively.

Q: What happens if I don’t use my PTO by the end of the year?
A: PTO does not carry over. Use it before December 31 each year to avoid forfeiting it.

Q: Can I request unpaid time off during blackout periods?
A: Generally, PTO is restricted during blackout periods. However, if an emergency arises, discuss it with management to explore available options.

Q: Can I take PTO before the 90-day period is over?
A: No, you need to complete 90 days before accessing PTO. However, unpaid leave may be an option if arranged with management.

Q: Are there incentives for working during blackout periods?
A: Blackout periods are critical for staffing. Incentives, if any, will be announced separately for high-demand times.
